Privacy Policy

This policy explains what personal data the Trakterás app (mobile app and website) collects, what we use it for, who we share it with and what rights you have. It is written in plain language, without legal jargon.

Who we are

The data controller is Trakteras E.E., based in Greece. For anything concerning your data, email us at info@trakteras.com.

What data we collect

We collect only what the app needs to work. We do not buy data from third parties and we do not track you across other apps or websites.

Account details

• Email address and password (the password is always stored encrypted and we never see it).
• If you sign in with a Google account, we receive your email and name from Google — never your password.
• Optional profile details: full name, region, crops, farm size.

Content you enter

• Fields, machinery and other farm records.
• Tasks, reminders and diary entries.
• Income, expenses and receipt photos.
• The messages in your conversations with the assistant.

Data from your device

• Location: only when you choose to mark the position of a field. We do not record location in the background.
• Camera and photos: only for the receipt photos that you upload yourself.
• Microphone: only while you hold down the voice input button, to turn speech into text.
• Notifications: a technical device identifier, so we can send you the reminders you have set.

Why we use it

• To provide the service and keep your data.
• So the assistant can answer your questions using your own records.
• To send you the reminders you have asked for.
• For security, error diagnosis and improving the app.

The legal bases are performance of the contract with you (Article 6(1)(b) GDPR) for running the service, your consent (Article 6(1)(a)) for access to location, camera, microphone and notifications — which you can withdraw at any time in your device settings — and our legitimate interest (Article 6(1)(f)) in the security of the service.

Artificial intelligence

The Trakterás assistant runs on AI models from third-party providers. To answer you, we send them your message together with the relevant context — that is, details from your profile, your fields and machinery, and receipt photos when you ask for an expense to be recorded.

• OpenAI: processes conversations and receipt photos. When you request a web search, the search query is sent as well.
• ElevenLabs: processes the audio clips from voice input (to convert speech to text) and the text of answers (for speech output).

Both providers act as data processors on our behalf, under contracts that prohibit using your data to train their own models.

Do not enter sensitive data — such as health information, other people's tax numbers or card numbers — into conversations. The app does not need them. The assistant's answers are informational and do not replace agronomic, legal or tax advice.

Who we share data with

We never sell your data and we do not give it to advertisers. We share it only with the providers that make the service work:

International transfers

Your data is stored on servers within the European Union. Some AI providers process data in the USA; in those cases the transfer is covered by the European Commission's Standard Contractual Clauses.

How long we keep it

We keep your data for as long as your account is active. You can delete your account yourself, from the app or the website: deletion is immediate and permanent and erases everything, including income/expenses and receipt photos — we keep no copy. Your rights

Under the GDPR you have the right:

• to request a copy of your data;
• to correct anything that is wrong;
• to delete your account and your data — you can do this yourself, see Delete your account;
• to restrict or object to certain processing;
• to receive your data in a machine-readable format;
• to withdraw your consent at any time.

To exercise any of these, email us at info@trakteras.com. We respond within one month. You can also lodge a complaint with the Hellenic Data Protection Authority.

Security

Communication with the app is always encrypted (HTTPS). Receipt photos are held in private storage that is not publicly accessible. Access to data is restricted to your account. No service is completely secure, but we take appropriate technical and organisational measures.

Children

The app is intended for professional farmers and is not intended for anyone under 16. We do not knowingly collect data from minors.

Changes to this policy

If something material changes, we will update this page and show the new date at the top. For significant changes we will notify you inside the app.
